Launch party

Temporary exhibitions usually open with an event where supporters are invited to see the gallery - it is a way of saying ‘thank you’ for their help. Members of the press usually attend so it’s also a good way of telling the public about the exhibition.

Before the launch we need to figure out how many refreshments we need to provide for our guests. You can help if you want (but no nibbling!).

At our opening event we are serving canapés (finger food) and drinks.

First, the canapés. 160 people are attending, and we think they will eat 3 canapés each. We can fit 30 on a tray and have 2 members of staff to carry the trays around. How many trays will they each have to carry during the course of the evening?

They will need to carry 8 trays each during the course of the evening

First we need to know how many canapés there are, and find this out by multiplying the number of people by how many canapés they will eat.

  • 160 people x 3 canapés = 480 canapés

Then we need to know how many trays we will need to carry all of these canapés to our guests, and find this by dividing the total number of canapés by the number you can fit on each tray.

  • 480 canapés Divison symbol 30 per tray = 16 trays

To find out how many trays each member of the serving staff will have to carry we divide the number of trays by the number of staff.

Now for the drinks. Let’s just look at the wine. We know that 160 guests will come, and that they will drink 2 glasses each. Each glass can hold 150ml (millilitres). A bottle holds 75cl (centilitres). How many bottles do we need to buy?

We need to buy 64 bottles of wine.

First we need to know how many glasses of wine we need and do this by multiplying the number of guests by the number of glasses they will drink.

  • 160 people x 2 glasses = 320 glasses

To work out how much wine this is we multiple the number of glasses by the amount of wine in each glass.

  • 320 glasses x 150ml = 48,000ml

Our bottles hold 75cl (the glasses hold ml), so to turn our total amount of wine from ml to cl we just divide the figure by 10 (1cl = 10ml).

  • 48,000ml / 10 = 4,800cl

Now to see how many bottles we need we should divide the total amount of wine (in cl) by the amount in each bottle.

  • 4,800cl / 75cl = 64 bottles of wine
